Challenge

IMN Training delivers first aid and fire safety courses for companies across Germany. For years, certificates were handled manually. Participant data was typed into templates, printed, signed, and distributed physically.

This process took around 60 minutes per course and regularly led to spelling errors due to handwritten registration forms. Corrections meant additional effort, reprints, and delays. As course volume grew, the administrative workload became increasingly inefficient.

Solution

IMN Training switched to Virtualbadge.io to fully digitize its certification workflow.

At the start of each course, participants scan a QR code and enter their personal details directly into a digital form. Instead of deciphering handwritten lists later, all information is captured cleanly and in a structured format from the beginning.

After the training is completed, certificates are released through the platform and distributed digitally. If required, documentation can also be shared with employers. In case of a typo, corrections can be made quickly without reprinting and reissuing physical documents.

What used to involve manual typing, printing, signing, and organizing is now a controlled digital process that fits seamlessly into the training routine.

Outcome

Administrative time dropped from around 60 minutes to approximately 10 minutes per course.

Error rates decreased significantly because participants enter their own data. Paper usage and postal effort were eliminated. Participants now receive their certificates instantly in digital form and can store or share them easily.

What used to be a manual burden is now a streamlined digital process.

For IMN Training, a German provider of first aid and fire protection training for companies, the administrative workload did not begin after a course ended. It was part of every single training session.

As Florian Bruno recalls, the certification process used to be entirely manual. Participant data had to be transferred into templates, certificates were printed, signed, and distributed. Since registration details were often handwritten, spelling mistakes were common. Even small errors required corrections, reprints, and additional coordination.

On average, issuing certificates for a single course took around 60 minutes. With multiple courses running each year, this effort quickly added up. Beyond the time investment, the process required continuous handling of paper documents and careful documentation to meet regulatory requirements.

IMN Training knew that something had to change.

The transition began with the introduction of Virtualbadge.io. Instead of collecting handwritten data, participants now scan a QR code at the beginning of the course and enter their details digitally. This simple shift eliminated one of the biggest sources of errors.

After the training is completed, certificates are released through the platform and distributed digitally. If corrections are necessary, they can be managed directly within the system, significantly reducing follow-up effort compared to the previous workflow.

The impact was immediate.

Administrative time per course dropped from around 60 minutes to approximately 10 minutes. Error rates decreased noticeably, and the certification process became structured and predictable. Instead of spending valuable time on paperwork, the team can now focus on delivering high-quality training.

For participants, the experience also improved. Certificates are received digitally and can be stored or shared easily. Digital documentation fits better into modern company processes and reflects the increasing acceptance of digitalization in regulated industries.

Today, IMN Training benefits from a streamlined, efficient certification process that saves time, reduces errors, and supports a more professional training experience.
